Indexing and Alphabetizing
Indexing has to do with the arrangement of names on the folders or on cards. The
folders and cards are arranged alphabetically for filing and finding. The following rules are
some of the standard rules for filing.
Individual names. Names of individuals are indexed by the last name (the surname)
first, then the first name then the middle initial or middle name, if any
Example Indexing Order

Patrick D. Gallagher
A. Put these names in indexing order:

2. Grace R. Glad
3. J. Thomas Williams
4. R. D. Riddell
5. Francis Smith
Business Names. The names of businesses, institutions and organizations are indexed
as they are written unless they have the name of an individual. When the individual’s name is
part of a firm name, index by putting the last name first, then the first name, and the middle
initial or middle name, if any.
